Search for an expense report and the internet hands you a spreadsheet: an expense report template to download, unlock, fight with, and reformat before anyone gets paid back. This page skips the download. Type the lines, and the finished report builds itself on the right - subtotals by category, the grand total, the advance netted out - ready to print or save as a PDF.

The math is done honestly. Every amount is rounded to two decimals the way a bookkeeper would round it, category subtotals always add up to the grand total, and the bottom line never shows a negative number pretending to be a positive one. If the advance was bigger than the spend, the report says so in words: due back to the company.

Nothing here leaves this tab. The draft lives in this browser's local storage, so a half-finished expense sheet survives a closed laptop. The only server this page ever touches is your printer.

Questions this tool gets asked

What goes on an expense report?
The header names who spent the money and why: employee, department, approver, and the reporting period. Then one line per expense - date, category, what it was, and the amount. The report ends with subtotals by category, the grand total, any advance received, and signature lines for the person submitting and the person approving. That is the whole form; this page builds it as you type.
Which expense categories survive an audit?
Plain ones. Travel, meals, lodging, mileage, and supplies cover almost everything a working trip or a working week produces, and every finance team recognizes them on sight. The trap is miscellaneous: a fat Other line invites questions. Keep Other small, describe each line in real words, and keep the receipt behind every amount.
How does the mileage category work?
You enter the dollar amount, and the tool takes your number as written. Mileage rates change - most employers follow the IRS standard rate, which is updated at least yearly, and some set their own. So multiply your miles by the rate your employer actually uses, enter the result, and note the miles and rate in the description so the approver can check the math. The tool never invents a rate for you.
What happens if my advance was bigger than what I spent?
The bottom line flips honestly. When spending exceeds the advance, the report shows the amount due to the employee. When the advance exceeds spending, the same line becomes the amount due back to the company. No negative numbers pretending to be positive ones.
Is anything I type uploaded?
No. The whole report is built inside this browser tab. The draft lives in this browser's local storage so you can close the tab and come back, and the finished report goes only where you print or copy it. No account, no server, no upload.
Do I still need receipts?
Yes. This page builds the report; the receipts prove it. Most finance teams want a receipt for anything over a threshold they set, and card statements alone rarely satisfy an auditor. Staple them, scan them, or clip them to the same email - just keep each receipt matched to its line.
